Planning, Studies and Follow-up Division
1. Introduction
The Planning, Studies and Follow-up Division is one of the principal administrative divisions within higher education institutions. It is responsible for preparing statistical reports on the numbers of students and staff (faculty members and employees), identifying the College’s academic, administrative, and technical staffing requirements according to specialization, and providing data to support institutional planning and decision-making.

The Planning, Studies and Follow-up Division is administratively affiliated with the Assistant Dean for Administrative Affairs.

5. Responsibilities of the Division and Its Units
A. Statistics Unit
- Preparing the annual University and Technical Statistics Report, including statistical tables on undergraduate and postgraduate students, faculty members, employees, equipment, laboratories, workshops, clinics, the scientific journal, library holdings, and financial statistics issued at the beginning of each academic year.
- Preparing the Annual Report containing statistical tables on students, faculty members, and employees for verification and follow-up of the annual university statistics.
- Preparing annual workforce and staffing movement reports according to qualifications, academic titles, job titles, salary grades, years of service, and job descriptions.
- Preparing the Annual Graduates Bulletin showing undergraduate and postgraduate graduates by specialization.
- Preparing the Annual Staffing Tables showing employees, job grades, and vacant positions.
- Preparing Quarterly Activity Reports every three months.
B. Database Unit
- Developing and maintaining a staff database using Microsoft Access.
- Developing the comprehensive institutional database based on the unified statistical identification number using Microsoft Excel.
- Providing College departments with the required data through efficient database retrieval.
Additional Responsibilities
- Issuing administrative orders concerning amendments to the organizational structure.
- Updating the organizational structure.
- Obtaining official approvals for establishing administrative units and divisions.
- Preparing annual academic, technical, and administrative organizational structures.
- Preparing the Five-Year Strategic Plan.
- Monitoring electronic archiving.
- Nominating staff for external training courses.
- Responding to all official correspondence received by the Division.
